How to Convert a Quote into a Manufacturing Order in EDGEBIC

To convert a quote into a manufacturing order in EDGEBIC by User Solutions you click the convert action on the quote row, confirm the prompt, and a real production order is created carrying the product, quantity, dates, costs, and customer links. The quote's status flips to Converted and locks. The control is the 🛒 (Convert to Order) action on the row, or 🛒 Convert All for a batch. The order is created but not yet scheduled: it joins the calendar on the next scheduling run.

Before You Start

  • The quote has a product and a quantity above zero. Conversion is rejected without both.
  • The quote is simulated (recommended) so the order inherits capacity-aware estimates rather than routing math alone.
  • The quote's status is anything except Converted. Any other status converts.

Step 1: Open the Quote Grid

Go to Schedule, then the Quote tab. Locate the accepted quote. Setting its Status: to Approved first is good practice, but any status except Converted will convert.

Step 2: Convert

Click the 🛒 (Convert to Order) action on the row. A confirmation dialog shows the product name, quantity, and due date. Click Yes. To convert several at once, tick the rows and click 🛒 Convert All; already-converted rows are skipped automatically, and a summary reports succeeded, failed, and the first few failures.

Step 3: Note the New Order

The new order appears in the Manufacturing Orders list with job number MO- followed by the quote number. For quote QUO-2026-011 that is MO-QUO-2026-011. The quote's Status flips to Converted.

The order's Notes also carry a line recording that it was converted from the quote, along with the customer and any customer or internal notes entered at quote time.

Worked Example: Converting QUO-2026-011

Acme signs off on the Widget-A quote. You set its Status: to Approved, then click the 🛒 action on the row. The confirmation dialog shows Widget-A, quantity 200, and the due date, which is the September 1 requested date. You click Yes.

The Manufacturing Orders list now holds MO-QUO-2026-011. It carries the product and quantity, a Due Date of September 1, the simulated window (start July 20, planned end August 14), the forward scheduling direction, and the $9,230 estimate with its labor and material split. The markup and unit price ride along for margin reporting, and the Acme customer link is intact, so nothing was re-keyed. The order's Notes record that it was converted from QUO-2026-011 for Acme, with any customer or internal notes appended. The quote itself flips to Converted and its 🛒 action greys out.

The order is created but not scheduled. The Gantt looks identical until you run Drive Schedule, which places MO-QUO-2026-011 on the calendar. Because the direction carried over as forward, the real run starts from the target date and schedules forward, reproducing the plan you quoted. Had the quote been backward, the order would schedule backward instead. If capacity has shifted since the July simulation, the live dates may differ slightly from the stored estimate, which is why re-simulating a stale quote before converting is worth the minute it takes.

What Changes When You Save

Conversion creates one manufacturing order and sets the quote to Converted. It does not schedule the order. The order is created with its scheduled flag off and waits for the next scheduling run to place it on the calendar. Your Gantt looks identical until that run happens.

Converting Several Quotes at Once

At the end of a day you may accept a batch of quotes. Tick the rows to convert, or leave every checkbox unticked to target all eligible quotes in the current filter, and click 🛒 Convert All. Eligibility is simple: any quote that is not already Converted, has an identity, a product, and a quantity above zero. A confirmation dialog shows eligible versus skipped counts, and after the run a summary reports how many succeeded, how many failed, and the first few failures. Already-converted quotes are counted and skipped rather than treated as errors, and a failure on one row does not block the rest: the loop continues. The Double-Conversion Guard

Conversion is protected by two independent checks so a quote cannot quietly spawn a second order. The first blocks any quote already marked Converted. The second checks that no manufacturing order already links to that quote, which catches the case where someone reset the status by hand. Together they make double conversion effectively impossible through the normal path. The one edge case: if you delete the converted order, its link back to the quote is cleared, so the second guard no longer fires and only the status check remains. To deliberately re-convert after a deletion, you would reset the quote's status, but the cleaner answer for repeat business is a fresh quote or a new manufacturing order.

How to Check It Worked

Go to the Manufacturing Orders tab and filter for MO- plus the quote number. Confirm the product, quantity, due date, estimated cost, unit price, and customer match the quote. The order shows as not yet scheduled, so run Drive Schedule to place it, then confirm its start and end dates on the Gantt.

Common Mistakes and Gotchas

  • Setting status to Converted by hand does not create an order. The only supported path is the convert action. A manually set Converted status just blocks the convert action.
  • A leftover job number blocks conversion. If MO- plus the quote number already exists from an earlier attempt, conversion fails with a duplicate job-number message. Find and check that order before retrying.
  • The order is not on the calendar yet. Conversion creates it unscheduled. It only gets real dates after a scheduling run.
  • Simulated dates can drift from live dates. If capacity changed since the simulation (a new holiday, work-center downtime), the live scheduled dates may differ from the estimated dates stored on the quote. Re-simulate before converting if the quote is stale.

Expert Q&A: Deep Dive

Q: We quoted a job as backward, finish-by. Will the real order actually honor that when it schedules?

A: Yes. The scheduling direction carries onto the order at conversion, so a backward quote becomes a backward order. When the next scheduling run places it, the engine reproduces the finish-by framing you quoted rather than defaulting to forward. The target date, simulated window, estimated cost with its labor and material split, markup, unit price, and the customer and sales-order links all carry over too, so the real run reproduces the plan you sold.

Q: The convert button is greyed out on a row. What is going on?

A: The convert action is disabled or rejected when the quote is already Converted, or when an order for it already exists. Check the Manufacturing Orders tab for MO- followed by the quote number. If that order exists and is valid, there is nothing to do; the quote should already read Converted. If the order was deleted, the quote's status may not have flipped, in which case create a new quote for the repeat business rather than forcing a re-convert.
