- What Is a Department Status in Manufacturing?
A department status is the lifecycle state of a department, the organizational grouping that holds a set of work centers, and it takes one of three values: active, inactive, or maintenance. It describes the standing of a plant area rather than the hour-by-hour availability of the machines inside it. How it works
A department groups work centers that belong together, such as machining, assembly, or heat treat, and it can also stand for a plant location with its own address. Departments are how a plant rolls capacity and cost up above the individual machine, so a manager can ask about an area rather than about twelve separate work centers. When one job touches several of them, the dominant department rule decides which single area gets credited on a plant scorecard.
Because departments outlive individual machines, they need a lifecycle. Active is the normal state: the area is operating and its work centers are in service. Inactive means the area has been shut down or mothballed. The decommissioned paint shop still exists in the record because history points at it, but nobody expects it back. Maintenance is the temporary version: the area is offline for major work, such as a bay being re-roofed or a line being rebuilt, and is expected to return.
The distinction that matters most is between status and capacity. The status is a label on the grouping. It does not create or remove schedulable hours, because hours belong to work centers, not to the folder they sit in. A work center's availability comes from its shifts, the plant and shift holidays that apply to it, its own downtime events, and any capacity overrides a planner has entered.
That separation is intentional. If status quietly removed capacity, then an organizational tidying-up would silently change the production plan, and the two would drift apart with no obvious cause. Keeping them separate means an area that is genuinely closed has to be expressed twice: once as capacity, so the schedule is correct, and once as status, so anyone reading the plan understands why.
The practical rule is to use both together. Set the work centers' availability to reflect reality, and set the department status to explain it.
A concrete example
Think of a restaurant with a kitchen and a pastry section. The pastry section is a department: it has its own ovens, its own staff, and its own share of the week's output. If the pastry chef is on vacation for a week, the section is still active, it simply has fewer hours available, and that shows up on the roster rather than on the sign.
If the section is closed for a month while the ovens are replaced, the sign on the door says closed for refurbishment. That is maintenance status: a temporary, explained closure, and everyone reading the roster understands why there are no pastry hours in it. If the restaurant drops desserts from the menu permanently and clears the room out, the section becomes inactive. The old orders that mention pastry still make sense, because the section still exists in the records, but nothing new goes there.
Note that in all three cases the roster is what actually decides whether anybody works. The sign explains the roster; it does not replace it.

Q: I marked a department as maintenance but jobs are still being scheduled into it. Is that wrong?
A: It is working as designed, and the gap is worth closing deliberately. Department status describes the area's standing so people reading the organization chart, the capacity rollups, and the reports understand what they are looking at. Machine availability is separate: it is driven by each work center's shifts, holidays, downtime events, and capacity overrides. If the bay really is closed for three weeks, express that on the work centers, typically as downtime or capacity overrides of zero across the range, and use the maintenance status alongside it as the human-readable explanation. Doing only one of the two either produces a plan that ignores reality or a plan nobody can explain.
Q: Should I delete an old department or mark it inactive?
A: Mark it inactive. History points at the department: past jobs, past capacity analysis, past cost rollups, and reports that group by area all reference it. Removing it makes those records ambiguous or orphaned, and the past does not become less true because the area closed. Inactive keeps the record intact and readable while making it clear the area is no longer operating, so a report covering last year still resolves correctly and a report covering this quarter shows the area as the closed thing it is.
