- How to Add a Customer in EDGEBIC
To add a customer in EDGEBIC by User Solutions, open the Customers tab, click Add Customer, enter a Customer Id, and click Save Customer. The Id is the only required field. The dialog groups everything else into four sections, and the new customer appears in the order and quote dropdowns the moment you save. For the concepts behind customers and departments, read customers and departments explained.
Before you start
- You can see the Customers tab and the Add Customer button. That button is permission-gated, so ask your administrator if it is missing.
- You have decided the Customer Id. Short and stable beats descriptive, because it appears in narrow grid columns and in every export.
- You have checked for an existing record, including inactive ones. Untick Active Only in the page header to see the whole list.
- If you are loading more than a handful, import them from a spreadsheet instead. Fifty customers from an old system belong in a spreadsheet, not in fifty dialogs.
Steps
- Open the Customers tab from the main navigation.
- Click Add Customer at the top right. The customer dialog opens with the heading Add Customer.
- Fill in Basic Information:
| Field | Required | What it does |
|---|---|---|
| Customer Id | Yes | The unique short identifier shown on all grids and dropdowns. Minimum two characters |
| Name | No | The full descriptive name |
| Contact Person | No | Your day-to-day contact. Pre-filled on new quotes |
| No | Must be unique across customers when entered | |
| Phone | No | Digits, spaces, dashes, parentheses, plus and period are accepted |
- Fill in Address Information as needed: Street Address, City, State/Province, Postal Code, Country. City appears as a grid column, which makes regional filtering easy later.
- Fill in Financial Information if you track it: Tax ID, Credit Limit, and Current Balance. See how to set a customer credit limit for what the limit does.
- Fill in Additional Information: free-form Notes, and leave Customer is Active ticked.
- Click Save Customer. The dialog closes and the row appears in the grid.
If a validation warning appears, for example a balance above the credit limit, a Validation Warnings prompt lists the issues and asks whether to continue. Click Yes to save anyway. Hard errors such as a missing or duplicate Customer Id, or a duplicate email, appear in the dialog's error banner and block the save until corrected.
What changes when you save
| Surface | Effect |
|---|---|
| Manufacturing order dialog | The customer appears at once in the Customer Id dropdown |
| Quote dialog | Selectable immediately, with the contact fields pre-filling from the record |
| Drive Schedule grid | The Customer Id column can show the account on every order |
| Order-centric reports | The customer becomes available as a column and a filter |
| The schedule | Nothing. The scheduler never reads the customer |
That last row is worth internalizing. Adding, editing, or removing a customer never moves a job. The link exists for traceability and for the customer-facing documents, not for the scheduling math.
How to check it worked
- Confirm the new row in the Customers grid, with the Status column showing active.
- Open the manufacturing order dialog and check the Customer Id dropdown. The new customer should be listed without a restart.
- Create or open a quote and confirm the contact fields pre-fill from the record. If they are blank, the Contact Person and Email fields on the customer were left empty.
- Once the customer has an order, click the view-history button on their row and confirm the job appears. See how to view a customer's order history.
Common mistakes
Long Customer Ids. Acme Industries Inc. (new) is painful in every grid and export. Use ACME.
Duplicate records for the same account. There is no merge. Consolidating duplicates means re-pointing every order and quote by hand, then removing the extra record.
Missing the inactive record. If a save is rejected for a duplicate Id, the existing customer may be inactive and hidden. Untick Active Only to find it and reuse it.
Skipping contact person and email on quoted accounts. The quote dialog pre-fills from those fields. Leaving them blank means retyping the contact on every quote and inviting typos on a customer-facing document.

Expert Q&A: Deep Dive
Q: Our customer has three plants that order separately. One record or three?
A: One record per legal entity, with the sites handled through the address fields or notes. Splitting one customer into three records splits their history too, so the order history dialog no longer answers the question you actually ask, which is what are we building for this account. If the sites genuinely need separate ship-to handling in your process, keep the single customer and identify the site on each order rather than duplicating master data. Duplicate customer records are also awkward to undo: there is no merge, so consolidating means re-pointing every order and quote by hand.
Q: We accidentally deleted a customer. What happened to their jobs?
A: The jobs survive. Deleting a customer does not delete their manufacturing orders, quotes, or sales orders, and those records keep scheduling normally. What is lost is the link: the customer column on each order goes blank, and quotes retain the customer name only as historical text. The recovery is manual: re-create the customer record, then edit each affected order and re-select the customer in its dropdown. That is why deactivating is the recommended way to retire a customer, since it keeps every link intact.
